Set Higher Expectations for Meetings

Set higher expectations for meetings. Not only can we hold fewer meetings, we can be more effective with meeting time.

Here are common problems with meetings that are easily fixed.

  1. Conduct a work session instead of a meeting.
  2. “We’ll give it a few more minutes while others join…” Instead of waiting, start on time. End prior meetings early. Sign on a few minutes beforehand.
  3. “Let me share my screen…Can you all see my screen…” Start the meeting early. Share your screen before the start time so you’re able to start on time. See #1.
  4. “I know we’re at time, but…” Get done early. Keep the conversation on track. State the meeting etiquette at the beginning to keep the conversation from getting out of hand.
  5. If there can’t be a result in 30 minutes, you’re not ready for a meeting.
  6. Give context for the meeting in the meeting invite. Why is the meeting being held and what needs to be accomplished?
  7. Have an agenda for the meeting in the invite in Outlook. Don’t accept meeting invites without agendas.
  8. Be prepared for the meeting before it happens. Review the context and agenda so you can be an active participant and help bring the meeting to an efficient close and tangible result.
  9. Share the meeting agenda on screen during the meeting. As the discussion occurs, write down what is being said live. This will serve as the Minutes for the meeting. All attendees see what’s being recorded and Minutes are completed during the meeting, allowing them to be sent at the end.
  10. Schedule one hour after each meeting (just for yourself) to complete the Next Actions from the meeting. Close the loop on open meeting items immediately.
  11. If the above can’t be met, don’t have a meeting.
